The Opportunity

We are seeking a highly capable and experienced Senior Operations Manager to join our team. This is a central, client-facing role that blends operational leadership, studio management, and executive support. The right candidate will be a true right hand — someone who thrives in the lion’s den, is comfortable making final decisions, and knows how to lead a team with confidence and clarity and can talk with ease to our clients and business partners.

Your Skills & Talents

  • 5+ years of relevant experience in operations and executive support
  • Thrives in a fast-paced creative environment with multiple stakeholders
  • Highly financially literate; experienced in invoicing, reporting, and budget oversight
  • Advanced Excel user
  • Calm, communicative, and discreet — a natural problem solver and multitasker
  • Proficient with: Google Workspace, Slack, Dropbox, DesignDocs, Adobe, Gantt charts or similar tools
  • Detail-oriented with excellent writing, documentation, and organisational skills
  • Familiarity with the interior design or architecture industry is a plus — a love of beauty and a deep appreciation for thoughtful spaces is a must

Key Responsibilities

  • Oversee Operational Software & Project Tracking
  • Serve as the central point of coordination across the studio for the design team
  • Oversee all internal systems, including the successful migration to a new project management platform
  • Monitor team workflows and deliverables to ensure smooth execution
  • Lead team meetings and assist in tracking team goals and milestones

Client & Financial Administration

  • Act as first point of contact for prospective clients, managing initial intake and timely follow-up
  • Generate and issue monthly project invoices; track payments and liaise with the bookkeeper and CFO for reconciliation
  • Collaborate with the Principal Designer, Senior Designer, and CFO on budget planning and reporting
  • Deliver monthly project metrics to inform resource planning and studio forecasting

Executive & Team Support

  • Provide administrative support to Gillian, including diary management and travel arrangements
  • Coordinate hospitality for client/trade meetings
  • Participate in studio events, assist with press coordination, and handle occasional personal tasks
  • Act as a representative of the studio in both client-facing and vendor communications

Studio Visibility

  • Coordinate and schedule professional photo shoots with clients, photographers, and stylists
  • Organise and archive project photography assets across studio platforms
  • Liaise with press contacts and vendors for image requests and brand visibility opportunities
  • Assist in promoting recent press placements and completed projects to partners and collaborators

Location & Schedule

This is a fully on-site position based at our Leaside studio in Toronto

Studio hours are Monday to Friday, 9:00 am – 5:00 pm, with occasional evening or weekend commitments for industry events
